Why Can't I Allocate Inventory? Check Your Warehouse Selection

If you get an error when allocating inventory to a work order even though stock shows as available, the selected warehouse doesn't have enough stock, because Floorzap tracks inventory by warehouse.

Why can't I allocate inventory to a work order? If you get an error when you allocate inventory to a work order even though stock appears to be available, the warehouse you selected may not have enough stock for the request. In that case, Floorzap shows the message "You don't have enough quantity in the inventory".

How Floorzap Tracks Inventory

Floorzap tracks inventory by warehouse location, and this is why an allocation can fail when stock exists elsewhere. When you receive the items on a purchase order (PO), you choose the warehouse each product goes to. When you allocate inventory to a work order, the Manage Inventory Product Tracking window asks you to choose a Warehouse first and then a PO. Floorzap checks availability only in the warehouse you selected, not across all warehouses combined.

For example, Warehouse B has 50 units available and Warehouse A has 0. If you select Warehouse A, you still get an allocation error.

How to Fix the Allocation Error

These steps fix the allocation error when the warehouse you selected doesn't hold the stock you want to allocate.

  1. In the main menu, go to Inventory Products > Product Stock. The Product Stock page opens.

  2. Open the product you're trying to allocate and click its Inventory tab. The Warehouse column shows which warehouse holds the stock.

  3. On the work order, click the tracking icon on the product's line item. The Manage Inventory Product Tracking window opens.

  4. In the Manage Inventory Product Tracking window, set Action to Allocated.

  5. In the Warehouse field, choose the warehouse that holds the stock.

  6. In the PO # field, pick the PO you want to allocate from.

What the Manage Inventory Product Tracking Window Shows

The Manage Inventory Product Tracking window, which you open from the tracking icon on a work order line item (its tooltip reads Manage Invoice Product Tracking), works like this:

  • The Action field must be set to Allocated to allocate stock. The window opens on Prepared when the line is already allocated, and on Allocated otherwise.

  • The PO # field lists the POs for the warehouse you chose.

  • Each entry in the PO # field shows the PO number, the Dye Lot (or Roll for roll goods) and the Available quantity.

What the Product Stock Page Shows

The Product Stock page lists each product with these quantities:

  • On-Hand

  • Allocated

  • Prepared

  • Available

If You Only Have One Warehouse

If your account has only one warehouse and you still get the allocation error, confirm that the PO receiving steps were fully completed.

  • The PO shows a status of Received or Moved to Inventory.

  • The product's Available quantity on the Product Stock page is greater than 0. If it is 0, there is nothing to allocate.

Preventing Allocation Errors

To prevent allocation errors, select the correct warehouse for each product when you mark the items as received on a PO, using Mark Received or Mark Received & Move to Inventory. Receiving into the wrong warehouse can cause allocation errors for accounts with more than one location.
