Which Inventory Report Should I Use

Choose the right Floorzap inventory report for stock quantities, inventory value in QuickBooks, and materials on work orders and purchase orders.

Floorzap has several inventory reports. The Monthly Product Stock page shows quantities only. The Inventory Assets by Month report, found under Reports, then Vendor / Materials, then Assets Report, shows the dollar value you use to keep QuickBooks Online (QBO) accurate. The other inventory reports show materials on work orders and purchase orders.

The Monthly Product Stock Page

The Monthly Product Stock page is a month-end snapshot of your stock inventory. It shows how much of each inventory product you had on hand as of the last day of each month, not your current live inventory levels.

Note: The Monthly Product Stock page is not live data. It reflects a point-in-time snapshot taken automatically on the last calendar day of each month. To see your current inventory levels, use the Product Stock page instead.

To find the Monthly Product Stock page, go to Materials or Warehouse, then Monthly Product Stock.

Only stock inventory products appear on the Monthly Product Stock page. Non-inventory products are not included, so if you don't see a product, confirm it's set up as an inventory item.

The Monthly Product Stock page has Allocated, Prepared, Available and On Hand columns:

  • Available: the quantity not currently used on a work order, which is what you can still sell.

  • On Hand: the total of Allocated, Prepared and Available.

The snapshot is only taken on the last day of a month. Floorzap has no way to create a snapshot for a month that has already ended, so a month with no snapshot has no data.

To work with the data directly, export the Monthly Product Stock page to Excel.

Note: The Monthly Product Stock page shows quantities only and has no dollar values. To see the dollar value of your inventory, use the Inventory Assets by Month report described in the next section.

Which Report Do I Use to Update Inventory Assets in QuickBooks?

To update inventory assets in QuickBooks Online (QBO), use the Inventory Assets by Month report in Floorzap. Floorzap does not sync inventory quantities or inventory value to QBO. The bills for inventory purchase orders do sync. By default, those bills are recorded against the Cost of Goods Sold account in QBO, through each product's expense account, or against a different expense account if your company has set one for products. Floorzap sends products to QBO as non-inventory items and doesn't link them to an inventory asset account, so a synced bill does not change the inventory asset account. You adjust the inventory value in QBO yourself.

  1. Go to Reports, then Vendor / Materials, then Assets Report.

  2. Turn on the Show Inventory switch. The report is broken down by month and shows your Total Assets Up-To-Date. It also shows Total Adjustments, Total Returned to Inventory, Total Received, Total Picked-up, and the count of products received that month.

  3. At the end of each month, quarter or year, take the Total Monthly Assets figure from the report.

  4. In QBO, make a journal entry that adjusts the inventory value.

Note: If the Show Inventory switch is off, the Assets Report page shows the non-inventory version of the report instead.

Other Inventory Reports

Floorzap has three more inventory reports that show materials on work orders and purchase orders.

  • Inventory Jobs: shows all materials currently on work orders. You can filter it by status: New, Partially Allocated, Allocated, Partially Prepared, Prepared, Partially Picked Up, Picked Up or Returned. Use Bulk Action on this report to Prepare, Pick Up or Return materials for several work orders at once, without opening each work order. Allocate is not one of the Bulk Action choices.

  • Product Inventory: shows inventory broken down by product and purchase order, plus lot numbers and roll numbers. Each purchase order number is listed with its Quantity, Adj. Quantity, Alloc. Quantity, Prep. Quantity, Picked-up Quantity, Avail. Quantity, On-Hand Quantity and cost columns. The report doesn't show a purchase order status. A red Returned icon appears next to a purchase order number when that stock was returned to inventory.

  • Overview: the financial view by material and purchase order, found under the inventory menu. It shows customer price, unit cost, work order cost, total sales, profit, picked up quantity, cost and sales, and on-hand quantity, with totals at the bottom. You can filter it by purchase order number.
