Why Can't I Mark Materials as Picked Up

Why the Picked Up action may be unavailable or show an error, and how to move materials through the steps.

If you can't mark materials as Picked Up in Floorzap, the material usually hasn't reached the step before Picked Up, or the Manage Invoice Product Tracking window found a problem with the warehouse, the purchase order, or the quantity. This article explains why Picked Up may not work and how to move materials through the steps.

Material Status Steps

Materials on a work order move through different steps in Floorzap, depending on the product type:

  • Inventory products: Allocated → Prepared → Picked Up

  • Non-inventory products: Received → Prepared → Picked Up

Skip to Pickup moves an inventory product's material to Picked Up without stopping at each step. In the Manage Invoice Product Tracking window, click Skip to Pickup to allocate, prepare, and pick up a quantity in one step. It's available when the next step is Allocate or Prepare, and it's turned off when the action is Pick-up or Return.

Why Picked Up Won't Work

If you can't mark materials as Picked Up, or Floorzap shows a warning when you try, check these common reasons:

  • The quantity hasn't been prepared. You can only pick up a quantity that has been prepared. If you ask to pick up more than the prepared quantity, Floorzap warns that the given quantity is greater than the quantity available for pick-up. Prepare the quantity first, or, for inventory products, use Skip to Pickup.

  • "The active inventory does not have enough quantity." Floorzap shows this warning when the purchase order (PO) you selected doesn't have enough available stock. It appears when you allocate an inventory product, including when Skip to Pickup allocates for you. Choose a different PO while you allocate. The PO can't be changed for the Prepare, Pick-up and Return steps.

  • No warehouse selected. An inventory product needs a warehouse. Without one, Floorzap shows "Please select the warehouse that you want to allocate the quantity from."

  • No PO selected. An inventory product also needs a purchase order (PO). Without one, Floorzap shows "Please select the purchase order that you want to allocate inventory from."

Where to Update Material Status

You can update a material's status, which opens the Manage Invoice Product Tracking window, in any of these places:

  • Work order: on the material's row, click the icon titled Manage Invoice Product Tracking.

  • Warehouse → Material Jobs: shows all materials across work orders.

  • Inventory Jobs: lets you update inventory materials without opening each work order.

Note: If you still see an error, contact Floorzap Support with the work order number and the material.
