How to Import Products into Inventory

Import your product catalog into Floorzap in bulk from an Excel template, including which columns to fill in and how to enter carpet rolls.


Importing Your Product Catalog

Use the inventory product import to add your product catalog to Floorzap in bulk from an Excel template, instead of adding products one at a time. Follow the steps below to download the template, fill it in, and import your products.

  1. From the main menu, select Inventory.

  2. Click Products.

  3. Select Import Products.

  4. Download the Excel template by clicking the provided link. The template contains all the required headers and formats, plus instructions for filling out each column.

  5. Fill out your product details in the Excel template, following the on-sheet instructions. Before uploading, delete the instruction rows at the top of the sheet. Floorzap reads the first non-empty row as the column headers, so leftover instruction rows will cause the import to fail.

  6. Back in Floorzap, choose your Vendor.

    You choose one vendor per upload, so keep each vendor's products in a separate sheet and import them one at a time.

  7. Upload the completed Excel file.

  8. Map your Excel columns to the Floorzap fields. Floorzap usually matches them automatically, but double-check each one for accuracy.

    All required fields, including Inventory Unit of Measure (UOM) and Product Cost, must be filled in for the import to succeed. If you enter a Selling Price, Floorzap calculates the Margin % automatically. If you leave Selling Price empty, you need both a valid Product Cost and a Default Margin Percent so the margin can be calculated. Don't enter 0 as a Selling Price. A 0 causes a "no margin" error even when Default Margin Percent is filled in, so leave the cell empty instead.

  9. Click Map and Preview to see a list of the products that will be imported.

  10. Review the preview list. A green check mark means all fields in that row are valid. A red exclamation point means the row has a problem. Hover over the red marker to see what needs to be fixed, correct it in your Excel file, and upload it again.

  11. Once every row has a green check, select the products and click Import Selected Products.

Other Import Columns to Know

These columns in the inventory product import template apply to every product type, including carpet. Most are optional, but values that must match a setting in Floorzap need to be entered exactly as shown below.

  • Warehouse must match a warehouse name exactly as it appears under Settings → Warehouses.

  • Stock Area and Section are optional. Use them if you've set up areas and sections in your warehouse.

  • Vendor Product Name, Vendor Style, and Vendor Color are optional. Use them when the vendor's names are different from the names you use for the product.

  • Round Up Quantity accepts Yes/No, Y/N, True/False, 1/0, or Enabled/Disabled, in any capitalization. If you leave it blank, Round Up is turned on for new products and left unchanged for existing products. Any other value flags the row in the preview, and the row won't import until you fix it. Importing Carpet Rolls

Carpet is imported differently from other inventory products in Floorzap. When importing carpet, follow the rules in this section carefully. Incorrect entries can result in wrong roll counts, sizing errors, or rolls that import with zero coverage.

Carpet is entered by the roll, not by product. Each row in the import sheet represents one physical roll.

  • One row = one physical roll. If you have two rolls of the same carpet, enter two rows.

  • Use the same SKU on every row for the same carpet. Floorzap matches carpet by SKU within the selected vendor and files each row as a separate roll under one product, so it doesn't create duplicates. Use a different SKU only for a different product.

  • Quantity = the roll's total area, in the unit you entered in the Unit column. If Unit is SqFt, enter square feet (for example, 186.98). If Unit is SqYd, enter square yards. Don't enter the number of rolls.

  • Unit must be exactly SqFt or SqYd. Other spellings, like "Sq Ft" or "SF", import the roll with zero coverage.

  • Carpet Width = the roll width in feet (for example, 12). This column is required for carpet. If it's blank, the roll imports with zero coverage.

  • Coverage isn't used for carpet, but the column still has to be mapped. Enter 1 on carpet rows.

  • Unit of Measure (UOM) = Roll.

  • Product Name is required for carpet rows.

  • Roll length is calculated for you, so you don't enter it. For SqFt, roll length = Quantity ÷ Carpet Width. For example, 180 SqFt ÷ 12 ft = 15 ft. For SqYd, roll length = Quantity × 9 ÷ Carpet Width, because there are 9 square feet in a square yard. For example, 20 SqYd × 9 ÷ 12 ft = 15 ft.

  • Roll numbers and roll count are assigned automatically. Floorzap gives every roll its own system roll number and updates the product's on-hand roll count.

  • Optional carpet columns: Roll No (the manufacturer's roll number), Dye Lot, and Roll Price.

  • Round Up Quantity doesn't apply to carpet and is ignored on carpet rows.

Example: importing two rolls of the same carpet. Enter two rows, both with the same SKU (for example, 10001) and the same Product Name (for example, Example Carpet), Carpet Width 12, Unit SqFt, UOM Roll, and Coverage 1. Put each roll's square footage in its own Quantity cell. The result is one product with two rolls on hand.

Check your carpet after importing: open the product's stock page and confirm each roll shows the square footage you expected. A roll showing 0 usually means the Unit or Carpet Width was entered incorrectly.
