How to Show Out-of-Stock Products on Quotes and Invoices

Turn on Show Out Of Stock Inventory Products so you can add products with no stock on hand to quotes and invoices, and learn why an inventory product might be missing from the product search.

By default, Floorzap hides inventory products with no stock on hand from the product search on quotes, invoices, work orders, service templates, and leads. An admin can turn on the Show Out Of Stock Inventory Products setting so these products appear and can be added when a restock is expected.

Turn On Out-of-Stock Products (Admin, One-Time Setup)

An admin turns on Show Out Of Stock Inventory Products once in System Settings. The setting applies to every user in your account, so once it's on, anyone can add out-of-stock products to quotes and invoices.

  1. From the main menu, click Settings.

  2. Select System Settings.

  3. Open the Quote tab and check Show Out Of Stock Inventory Products.

Add an Out-of-Stock Product to a Quote

Once Show Out Of Stock Inventory Products is turned on, out-of-stock inventory products appear in the product search when you add materials to a quote or invoice.

To check whether a product is out of stock, go to Inventory > Product Stock. An out-of-stock product shows zero on-hand quantity.

  1. Open or create a quote, then click Add Material to open the product search.

  2. Search for the product by name or number, select it, and click Add Materials.

  3. The product is added to the quote. If the quoted quantity is more than the stock you have available, the material detail icon on the line item turns red. You can still save and send the quote.

Why Doesn't a Product Appear When I Add Materials to a Quote?

If an inventory product doesn't appear in the product search when you add materials to a quote or invoice, Floorzap is treating it as out of stock. This happens for one of two reasons:

  • The product has no stock on hand. Its remaining stock is zero or below. An admin can turn on Show Out Of Stock Inventory Products under Settings > System Settings > Quote so the product appears in search results.

  • The product's coverage is missing or set to 0. For products sold by coverage, such as tile or LVP sold by the box, Floorzap calculates available stock as coverage × quantity on hand. For example, 10 boxes with a coverage of 20 sq ft per box gives 200 sq ft available. If coverage is 0, the result is 0, so the product is hidden even when boxes are on hand. Turning on the setting makes the product appear, but it will still show zero available, so correct the product's coverage instead. Roll goods such as carpet use the quantity on hand directly, so coverage doesn't affect them. For more on coverage, see Inventory Import: Understanding Unit Of Measure (UOM).
