Which Cost Does Floorzap Use on Quotes and Invoices

Learn which cost Floorzap uses on quotes, invoices and work orders, and how the Consider Base Price For Inventory Product For Quotes/Invoices setting affects it.

The cost Floorzap applies to a product on quotes and invoices depends on the Consider Base Price For Inventory Product For Quotes/Invoices setting, a checkbox in the Product Option section of Company Information. Work orders work differently, and both are covered below along with what the setting changes on an inventory product.

Quotes and Invoices

On quotes and invoices, the cost is controlled by the Consider Base Price For Inventory Product For Quotes/Invoices setting in Company Information, Product Option section. It is off by default. The setting works like this:

  • When the setting is on, Floorzap uses the product's base cost.

  • When the setting is off, Floorzap uses the purchase order (PO) cost.

Work Orders

On work orders, the Consider Base Price For Inventory Product For Quotes/Invoices setting does not change the cost. When you add an in-stock product to a work order, Floorzap uses the cost of the stock it takes from, which is the cost that stock was received at on the purchase order (PO). This is true whether the setting is on or off. If the product has no stock left to take from, the work order keeps the product's own cost.

With the setting on, the cost shown on an inventory product's record is the product's own cost. It shows the received stock's cost only when the product's own cost is zero. A work order still uses the cost of the stock it takes from, so the two costs can differ.

A product you just converted from non-inventory to inventory, with no stock yet, shows and uses its own cost until stock is received.

What the Setting Changes on the Product

Once an inventory product has stock, the product category, the rolled good checkbox, the unit and the unit of measure (UOM) are locked, and its product cost, selling price and margin are locked unless the Consider Base Price For Inventory Product For Quotes/Invoices setting is on. With the setting on, you can change the product cost, selling price and margin at the product level even when the product has stock. The product category, the rolled good checkbox, the unit and the UOM stay locked either way.

When the Consider Base Price For Inventory Product For Quotes/Invoices setting is on, Floorzap always takes prices from the product list and not from the purchase order. Customers usually enter special pricing on purchase orders, so that special pricing is not used on quotes and invoices. Turn this setting on with caution.

What to Do If a Cost Looks Unexpected

If the cost on a quote or invoice is not what you expected, confirm that the Consider Base Price For Inventory Product For Quotes/Invoices setting in Company Information, Product Option section, matches how you want quotes and invoices to price. With the setting on, quotes and invoices use the product's base cost. With it off, they use the PO cost.
