If you try to remove an item from a system list and see a message such as "unable to delete list item being used," the item is currently used somewhere in Floorzap. This is expected behavior, not an error. This article explains the rule, and what to do instead.
Being unable to delete a system list item is not a bug. Floorzap blocks the deletion on purpose to protect records that already reference that item.
Why Items in Use Cannot Be Deleted
A system list item that is in use anywhere in Floorzap cannot be deleted. If an item has been applied to a quote, invoice, work order, task, expense, or any other record, deleting it would change what those historical records say. Blocking the deletion keeps your past records accurate.
Items that have never been used can still be deleted, as long as the list offers a delete option.
Hide the Item Instead
When you cannot delete a system list item, hiding it accomplishes the same practical result. If the list has an eye icon next to each item, click it to hide that item.
The hidden item no longer appears as an option when your team builds quotes, invoices, or other records.
Records that already use the item keep it, so your history stays intact.
You can click the eye icon again at any time to unhide the item.

What to Do If There Is No Hide Option
Some system lists do not offer an eye icon to hide items. If you cannot delete an item and there is no hide option available, contact Floorzap support at [email protected] and let them know which list and which item you are trying to remove. Removing it may require a change on the Floorzap side.
Before contacting support, check whether hiding the item solves your problem. In most cases, hiding keeps the item out of your team's way without any further action needed.
