Why Aren't My Invoice Edits Listed in Invoice Versions

Floorzap saves a new invoice version when you send an invoice that has changed, not when you edit and save it.

Why aren't my invoice edits listed in Invoice Versions? A new invoice version is saved when you send an invoice that has changed to the customer by email or text message (SMS), not each time you edit and save it. The Invoice Versions window in Floorzap lists the versions that were saved when the invoice was sent.

Why Aren't My Invoice Edits Showing as Versions?

Why don't the edits I make to an invoice appear as versions in the Invoice Versions window? Editing and saving an invoice without sending it does not create a new version in Floorzap. The Invoice Versions window lists the versions that were saved when you sent the invoice, with one row for each version. Edits you make between sends don't get their own row.

For example, you send an invoice on Monday, edit and save it on Tuesday and Wednesday without sending it, and send it again on Thursday. The Invoice Versions window shows two rows: one for Monday's send and one for Thursday's send. The Tuesday and Wednesday edits have no rows of their own.

Note: This is expected. Changes you make to an invoice after sending it go into the next version, which is saved when you send the invoice again.

How Do I Open Invoice Versions?

How do I open the Invoice Versions window to see the versions of an invoice that were sent? Follow these steps from the invoice in Floorzap.

  1. Open the invoice, open its actions menu and choose Invoice/Contract History.

  2. The Invoice Versions window opens and lists each version of the invoice that was saved when it was sent, one row for each version.

What the Invoice Versions Window Shows

The Invoice Versions window in Floorzap shows a header block, a toolbar and a list of the versions that were saved when the invoice was sent.

  • The header block above the list has these labels:

    • Invoice Name

    • Total Sale

    • Customer

    • Total Payment

    • Created

    • Balance

  • The toolbar above the list has Excel and PDF buttons.

  • The list has the same eight columns for every invoice, whether or not it uses progressive invoicing:

    • Invoice # (invoice number)

    • Date

    • Type

    • Payment Amount

    • Invoice Version Status

    • Status Date

    • Payment Status

    • Deleted By

  • The Payment Status column shows a Pay Now link when the version is not yet paid, Paid when it is paid, and Not Paid otherwise.

  • Each row has an eye icon for viewing that version. Its hover name is View.

  • Each row that has not been deleted has an envelope icon for emailing a copy of that version. Its hover name is e-mail copy.

  • Each row that has not been deleted has a phone icon for texting a copy of that version. Its hover name is SMS copy, where SMS stands for text message.

  • A deleted row keeps only its eye icon.

  • The icons have no printed labels, so hover over one to see its name.

  • If the invoice has no saved versions, the window shows "No data available."

How Do I Keep a Specific Version of an Invoice?

How do I keep a specific version of an invoice on record in Floorzap? Sending an invoice by email or text message saves a new version only when the invoice has changed since its last saved version. If nothing has changed, the send reuses the last saved version and no new row is added. To keep a version of an invoice on record, send the invoice to the customer before you make further changes. Any later edits go into the next version, which is saved the next time you send the changed invoice.

You can also send a saved version again from its row in the Invoice Versions window by clicking the envelope icon (e-mail copy) or the phone icon (SMS copy, meaning text message copy). This sends that saved version again and does not add a new row.

Where Can I See the Emails Sent to a Customer?

Where can I see the emails Floorzap has sent to a customer, including invoice emails? The customer's record has an Emails tab and an SMS (text message) tab. The Emails tab lists the emails sent to that customer, including invoice emails.
