Other Cost on a Purchase Order vs. Other Expenses on a Work Order

The Other Cost field on a purchase order records additional vendor fees and increases what you owe that vendor. It is separate from the Other Expenses tab on a work order.

The Other Cost field on a purchase order (PO) is where you record additional fees your vendor charges that aren't part of the product cost itself, such as handling fees. Adding an amount in Other Cost increases the total amount due to the vendor on that purchase order.

Where to Find the Other Cost Field

You enter Other Cost on a purchase order's Reconcile Payment screen when you reconcile the purchase order against your vendor's invoice. The Reconcile Payment screen also has separate Shipping and Tax fields.

  1. Open the purchase order.

  2. Click Reconcile Payment.

  3. Enter any additional vendor fees in the Other Cost field.

For the full reconciliation steps, see Reconcile Inventory Vendor Invoices.

Other Cost Is Not the Same as Other Expenses on a Work Order

The Other Cost field on a purchase order and the Other Expenses tab on a work order are separate in Floorzap and are not connected. Entering an amount in one does not populate or update the other.

  • Other Cost (purchase order): records fees your vendor charges you and affects what you owe that vendor.

  • Other Expenses (work order): tracks expenses against the job.

When the Vendor Invoice and Purchase Order Totals Don't Match

If your vendor's invoice total doesn't match the purchase order total in Floorzap, where you fix it depends on what's different:

  • Fees, shipping, or tax: enter these on the Reconcile Payment screen, which matches the total bill amount to the vendor invoice.

  • Per-unit product cost on an inventory PO: update the cost on the Shipment Arrival screen. The Reconcile Payment screen does not change what was paid per product. See How to Fix a Product Cost Discrepancy on an Inventory PO.
