Why the Invoice Date in QuickBooks Doesn't Match Floorzap

If the invoice date in QuickBooks Online doesn't match Floorzap, it's usually because the Manual Invoice Date field was empty at sync, so Floorzap used a fallback date. Learn why this happens and how to fix it.

Overview

When Floorzap syncs an invoice to QuickBooks Online (QBO), the date that appears in QBO is pulled from the Manual Invoice Date field in Floorzap at the time of sync. If that field is empty, Floorzap falls back to another date depending on whether the invoice has been signed — which can cause an unexpected date on financial reports, including sales tax reports.

Why This Happens

The date that syncs to QuickBooks Online depends on what data is available at the time of sync. If the Manual Invoice Date field is empty, Floorzap uses a fallback date:

  • If the invoice has been signed, Floorzap syncs the Confirmed Date (the date the customer signed).

  • If the invoice has not been signed, Floorzap syncs the Created Date (the date the invoice was generated).

This is intended behavior — the system uses whatever date is available at the time of sync. The discrepancy appears when you expected a specific date but the Manual Invoice Date field was empty, so a fallback date was used instead.

How to Fix an Incorrect Date in QuickBooks

  1. Open the invoice in Floorzap.

  2. Enter the correct date in the Manual Invoice Date field.

  3. Re-sync the invoice to QuickBooks Online.

The corrected date updates in QBO immediately upon re-sync.

Best Practice: Set the Invoice Date Before Syncing

To avoid date discrepancies, always enter the date in the Manual Invoice Date field in Floorzap before syncing the invoice to QBO. This ensures the correct date flows through to your QuickBooks financial and sales tax reports.
