Linking vs. Mapping Customers Between Floorzap and QuickBooks

Floorzap has two ways to connect customers with QuickBooks Online, and using the wrong one creates duplicates. Includes what to do when the two systems store names in a different order.

Floorzap offers two different functions for connecting customers with QuickBooks Online (QBO) — Link and Map. They serve different purposes, and using the wrong one on an existing QBO account will create duplicate errors that require manual cleanup.

Link QuickBooks Customers with Floorzap

Link is the bulk option, and it only suits a QuickBooks account that has no customers in it yet. This function forces a sync of all existing Floorzap customers to QuickBooks, creating new customer records in QBO for each one.

When to use it: Only on brand new QuickBooks accounts with no existing customer data. It's a fast way to populate QBO with your Floorzap customer list from scratch.

Do not use Link if your QBO account already has customers — from a prior import or previous use. It will attempt to create duplicates and trigger "name already exists" errors for every matching record.

Map Customers

Map is the per-record option, used when the customer already exists on both sides. This function manually links a specific Floorzap customer to an existing QuickBooks customer record. Instead of creating a new QBO record, it connects the two existing ones.

When to use it: To resolve "duplicate name" errors — whether caused by accidentally running Link on an existing account, or by customers that were imported into QBO separately before the integration was set up.

To map a customer, go to Settings → Integrations → QuickBooks → Map My Customer, search for the customer causing the error, and match the Floorzap and QBO records.

When QuickBooks and Floorzap Disagree on Name Order

Duplicates can also be caused by the two systems storing customer names in a different order. If your QuickBooks customers are stored as "Last Name, First Name" and Floorzap syncs them as "First Name Last Name", the names never match, so every sync creates a duplicate record instead of matching the existing one.

Floorzap's customer mapping is per-record, which makes mapping impractical as a fix above a few hundred customers.

Options at scale:

  1. Change the display name format on your QuickBooks customer records. QuickBooks has no bulk setting for this, so contact QuickBooks support about running a bulk update on their side.

  2. Map customers in Floorzap before enabling sync. This prevents duplicates from being created, but requires manual effort for each record.
