How to Fix a Closed Accounting Period Error When Syncing to QuickBooks

QuickBooks rejects a bill, invoice, or payment sync when its date falls in a closed accounting period. Learn how to resolve it, and what to do if your accountant confirms the period is open.

QuickBooks Online (QBO) rejects a sync when the transaction's date falls before the books-closing date in your QBO account, because QuickBooks does not allow posting to a closed accounting period. This can happen when syncing bills, invoices, or payments from Floorzap.

Identifying the Error

The closed accounting period error appears when you sync a bill, invoice, or payment from Floorzap to QuickBooks Online. When a sync fails, Floorzap shows a Failed! message with QuickBooks Error and the reason QuickBooks gave. An error reading "The account period has closed" means the transaction's date falls before your books-closing date in QuickBooks.

Payments that sync to QuickBooks automatically don't show an error if the sync fails. If a payment is missing in QuickBooks, sync it manually by clicking the Sync With QuickBooks icon on the payment's row to see the error message.

Resolving the Error for a Bill

A closed accounting period error on a bill means the date Floorzap sent to QuickBooks Online falls in a closed period. The date Floorzap sends depends on the type of bill:

  • Material vendor bills: Floorzap uses the material's Received Date. If there's no Received Date, it uses the bill's Payment Date. If neither is set, it uses today's date.

  • Contractor payments and other bills: Floorzap uses the Payment Date.

There are two ways to resolve a closed accounting period error on a bill.

  • Option 1: Open the closed accounting period in QuickBooks. In QuickBooks Online, go to Account and Settings > Advanced > Close the books, and move the books-closing date to before the bill's date. Many businesses prefer not to reopen a closed period, so check with your accountant first.

  • Option 2: Change the bill's date in Floorzap. For a material vendor bill, change the Received Date. For a contractor payment, edit the payment and change the Payment Date. Choose a date after your QuickBooks books-closing date, then save.

Changing a bill's date moves the expense to a different accounting period. Check with your accountant before using this option.

After either fix, sync the bill again by clicking the Sync With QuickBooks icon on the payment's row in its payment history.

Resolving the Error for an Invoice

A closed accounting period error can block an invoice or invoice update from syncing to QuickBooks Online when the invoice date falls in a closed period. There are two ways to resolve the error on an invoice.

  • Option 1: Open the closed accounting period in QuickBooks. You or your accountant can move the books-closing date under Account and Settings > Advanced > Close the books, then sync the invoice again from Invoice Actions > Sync With QuickBooks. Many businesses prefer not to reopen a closed period, so this may not be an option.

  • Option 2: Change the Manual Invoice Date in Floorzap. Set the Manual Invoice Date on the invoice to a date in an open period, then sync again from Invoice Actions > Sync With QuickBooks. To learn how Floorzap decides which invoice date syncs to QuickBooks, see Understanding Invoice Dates in Floorzap & How They Sync to QuickBooks Online.

Changing the Manual Invoice Date alters the financial record and can shift sales tax liability to a different period. Check with your accountant before using this option.

Resolving the Error for a Customer Payment

A closed accounting period error on a customer payment means the payment's Payment Date falls in a closed period in QuickBooks Online. A customer payment's date can't be changed in Floorzap after the payment is posted, so the period has to be opened in QuickBooks for the payment to sync.

  1. Check with your accountant that the period can be reopened. In QuickBooks Online, go to Account and Settings > Advanced > Close the books, and move the books-closing date to before the payment's date.

  2. In Floorzap, click the Sync With QuickBooks icon on the payment's row.

  3. After the payment syncs, you or your accountant can move the books-closing date back.

If reopening the period isn't an option, contact Floorzap support.

The Books Are Open and I Still Get This Error

In some cases, the closed accounting period error appears even though the accounting period is open in QuickBooks Online. If your accountant confirms the period is open and the error still appears on every sync attempt, changing your QuickBooks settings won't resolve it. The Floorzap support team will need to investigate.

  1. Verify the period status directly in QuickBooks Online under Account and Settings > Advanced > Close the books.

  2. If the period is confirmed open, contact Floorzap support with the following details:

    • The affected transaction (bill, invoice, or payment) dates and amounts

    • The invoice or reference numbers

    • Your accountant's confirmation that the period is open

Preventing Closed Accounting Period Errors

To avoid closed accounting period errors on long-running jobs, consider closing your books in QuickBooks Online 2–3 months behind the current date. This gives multi-month jobs time to finish and sync their bills, invoices, and payments before their period locks. Talk with your accountant about the right closing schedule for your business.
