How to Reset an Invoice

Learn how to reset an invoice once it has been signed and locked

When Should You Reset an Invoice?

If an invoice has already been signed, it becomes locked and cannot be edited. You may need to reset it if you notice an error, such as:

  • Incorrect quantities

  • Wrong pricing

  • Missing or incorrect details

Resetting the invoice unlocks it so you can make updates while keeping a record of the changes.

Steps to Reset an Invoice

To reset a signed invoice so you can edit it, follow these steps.

  1. To start, navigate to the Invoice Actions section.

  2. Next, click on Reset Invoice.

  3. You're then required to input the signature and reset reason. Once you've done that, click Save.

  4. Congratulations! You're now able to edit the invoice.

What Happens Next?

This section covers what happens to an invoice after you reset it.

  • After you reset a signed invoice, it is unlocked and editable.

  • After you reset a signed invoice, you can make any necessary corrections.

Does a Reset Invoice Still Appear in Reports?

In Floorzap, a reset invoice that was signed at least once still appears in your reports, including the Detailed Tax Report, the Tax Journal and the Sales Tax report.

An invoice counts as a sale once it has been signed at least once. Resetting it only reopens the invoice so you can make changes. It does not take the invoice back out of your reports. This is how Floorzap works for the Detailed Tax Report, the Tax Journal, the Sales Tax report, your dashboard sales charts and your other sales and commission reports.

  • A reset invoice still appears on the Detailed Tax Report, and its Signed Date column keeps showing the original date it was signed.

  • An invoice that was never signed does not appear in these reports.

  • The note at the top of the Detailed Tax Report says only signed invoices appear. That includes invoices that were signed and then reset.

If you want an invoice removed from your reports, Void it instead of resetting it. A voided invoice is removed from the dashboard, the Sales Report and the Detailed Tax Report.

After Making Changes

After you reset an invoice and finish editing it, follow these steps.

  1. Review and update the details on the reset invoice as needed.

  2. Save your changes to the reset invoice.

  3. Send the updated reset invoice back to your customer for signature.

Tips

  • Check the invoice history to track all changes made after resetting.

  • Always include a clear reason for the reset to maintain accurate records.
