Why Is Use Tax Showing $0 on a Work Order?
Understanding Use Tax Discrepancies on your work order
Use tax locks in the moment a material order is placed. Ordering with zero quantity sets use tax to $0 and it won't recalculate automatically.
Use tax on a work order line item is calculated at the moment a material order is placed — not when the product is first added to the work order. Once an order is placed, that use tax value is locked in and will not automatically recalculate, even if you later change the product quantity or adjust the order status.
Important: Changing the quantity after an order is placed will not update the use tax. The value from when the order was first placed is what gets saved to the record.
Why This Happens
The most common cause is placing a material order while the line item quantity is still set to zero. Because the order was placed at zero quantity, use tax was calculated as $0 and saved to the order record. Even if the order is later moved back to Pending status and the quantity is updated, Floorzap will continue to reference the original $0 use tax from when the order was first placed.
How to Avoid This Issue
-
Always confirm the correct product quantity before placing a material order on a work order line item.
-
If the line item's service has use tax enabled, verify the product is assigned to that service before placing the order.
-
Do not place an order while a line item quantity is still set to zero — even if you plan to update it afterward.
