Admin Processing a Change Order on the Work Order

QUICK STEPS

  1. Confirm a change order was created on the invoice before touching the work order — this separates original scope from revised scope and keeps a clear record of what was added, removed, or modified.

  2. Once the customer has signed off, a red Invoice Changes button appears on the work order — this is your trigger to act.

  3. Click it to see what needs to be imported from the new/updated service.

  4. Review any non-inventory items on the change order and make sure they get ordered.

  5. Before importing changes to an existing material or labor item:

    • Confirm no payment has been made on the material item.

    • For labor, mark it as Incomplete and remove any payments before updating.

  6. If the change order added inventory items already in stock, they'll come in pre-allocated automatically (if auto-allocation is turned on) — no separate PO needed.

TIPS:
⚠️ Skipping the payment/labor check before importing changes can cause downstream issues when it's time to pay the installer.

💡 Always create a change order rather than editing the work order directly — it keeps the audit trail clean and protects both you and the rep.

​Remember: The red Invoice Changes button is your signal that a signed change order is waiting to be reconciled into the work order — don't skip the payment/labor checks before importing.
