Managing Multiple In-House Installers on a Single Job

For shops with large or frequently rotating installer crews, set up team-based subcontractors in Floorzap instead of tracking individual installers on every job.

Floorzap's default installer model assigns individual contractors to work orders. For shops with large in-house crews where assignments change frequently, managing individual installer records for every job becomes unwieldy. The recommended solution is to set up team-based subcontractors instead.

When This Approach Makes Sense

This setup works best when:

  • You have 5 or more in-house installers with overlapping job coverage

  • Installer assignments change day to day or job to job

  • Your installers share a work truck or route

How to Set Up Team-Based Installers

  1. Create team subcontractors instead of individual people. Go to Settings → Contractor/Sub and add records like "Install Team A," "Install Team B," and so on — one per crew or truck.

  2. Set up a shared login for each team in the installer mobile app. All members of that team use the same credentials to access their assigned jobs.

  3. Assign the team to the work order — not an individual. When scheduling a job, select the relevant Install Team as the contractor.

  4. Track daily personnel using a Task. For each job, create a Task with task type Install and list the specific team members working that day in the task. This keeps personnel records without requiring individual contractor setup in Floorzap.

Tip: Using Tasks for daily crew tracking keeps your work order assignments stable while still giving you a record of who actually worked each job — useful for payroll, accountability, or callbacks.
