How to Submit and Handle a Work Order Change Request

When a work order is locked, salespeople submit a change request instead of editing it. Here's how to submit one, and where admins find pending requests in the WO Change Requests section.


Once a work order is locked, a salesperson cannot edit it directly. Instead, they submit a change request that an admin reviews and applies. This article covers both sides of that process: how a salesperson submits a request, and where an admin finds pending requests. A change request is not the same as a change order. Use a change request to edit a work order that has been locked after signature. Use a change order when the job's scope or pricing changes and you need to add a service to the invoice.

How a Salesperson Submits a Change Request

Salespeople submit change requests from the locked work order itself. Follow these steps to send a request to your admin.

  1. Navigate to the locked work order and identify the changes you want to make.

  2. Create a change request and add any necessary comments describing what needs to change.

  3. Click Save. This sends the request to your admin.

Where Admins Find Change Requests

Submitted change requests appear in the WO Change Requests section of the left navigation menu, near the bottom. When one or more requests are pending, admins see a red badge on that navigation item.

No email or bell notification is sent when a change request is submitted. The red badge on WO Change Requests is the only signal. If admins do not check that section, pending requests will sit unnoticed — so build a habit of checking it regularly.

How an Admin Handles a Change Request

Admins review and apply change requests from the WO Change Requests section, then mark each one as handled so the salesperson knows it is complete.

  1. Click WO Change Requests in the left navigation menu to view pending requests.

  2. Open a request to view its details. You can filter the list by handled or not handled status.

  3. Open the work order, implement the requested changes, and add them to the work order.

  4. Save the work order.

  5. Mark the request as handled so the salesperson can see it has been completed.

How a Salesperson Checks Whether a Request Was Handled

Salespeople are not notified when an admin completes a change request either. To check the status of a request you submitted, open the work order and review your change request history — each request shows whether it has been marked handled.
