5.01 Release Notes

11/28/2023

Updates

  1. You can now quickly update the margin/markup of all line items within a service in quotes and invoices. To use this feature in a quote or invoice, enter the desired margin/markup in the new “% Margin” or “% Markup” field below the service name and service square footage, click on the black circular arrows next to this field, and then save the quote/invoice.
  2. Line item notes in quotes, invoices, and work orders will now appear below line item descriptions. In addition, you’ll see a new “Internal” check box when adding line item notes in a quote or invoice. If this check box is selected, then customers won’t see the line item notes on the quote/invoice; if this check box is not selected, then customers will see these notes on the quote/invoice.
  3. You’ll now see two date columns in your Invoices/Contracts list: Created Date and Invoice Confirmed Date. The Created Date shows the date each invoice was added in Floorzap. The Invoice Confirmed Date shows the date each invoice was signed (it will be blank for unsigned invoices). Both of these dates are automatically populated, but you can edit them for an invoice if necessary through the View/Edit Details button within the invoice.
  4. In the Invoice Actions menu, the Payment Settings have been moved out of the Contract/Invoice and Invoice submenus. You’ll now see the Payment Settings towards the bottom of the Invoice Actions menu.
  5. You can now easily set the down payment (deposit) amount of an invoice to the material balance (total price of all materials) in the invoice. To do so, from the invoice, go to Invoice Actions > Payment Settings, turn on the new “Material Balance” toggle, and then click Save. The “Material Balance” toggle is also available for quotes in Quote Actions > Payment Settings. If this toggle is turned on for a quote, then when that quote is converted to an invoice, the default down payment amount for the invoice will be its material balance.
  6. You can now add work order documents to the job details page so that contractors can view and print these documents. To use this feature in a work order, click on the paper clip button above “Contractor Actions'' after you’ve assigned a contractor to a service. From here, you attach documents to the work order if you haven’t already using the Upload button. Then, click on the checkmark below the document you want to add to the job details, enter a title, click Save, and repeat as necessary for other documents. If you have a work order with multiple contractors, then you can pick the documents you’d like each contractor to see using the paperclip button above each contractor’s labor items.
  7. “Overpaid” was added to the “Payment Status” drop-down menu in the Contractor Jobs report (in Reports > Contractor) to allow you to see a list of work orders in which contractors have been overpaid.
  8. The Warehouse Type, Warehouse, Stock Area, Stock Section, and Dye Lot fields were added in the Receiving Information section of the Shipment Arrival page for inventory POs (in Inventory Products > Purchase Orders > Gear button > Shipment Arrival). This change allows you to enter this information for different shipments of the same product under the same PO.
  9. “To Stock Area” and “To Stock Section” drop-down menus were added to the inventory transfer feature (Inventory Products > Inventory Transfer) to allow you to transfer inventory to a certain area and section within the selected warehouse.
  10. A new “Lock Invoice with Final Invoice Sent” check box was added in Settings > System Settings > Invoices. When this check box is selected, users will not be allowed to make changes to an invoice if the “Final Invoice Sent” toggle is on (in Invoice Actions > Payment Settings).
  11. You can now add the invoice name or the job address to the subject of the contract/invoice email sent to customers. To use this feature, make a selection from the “Additional Information in Invoice Email Subject” drop-down menu in Settings > System Settings > Invoices.
  12. Additional overhead features in Settings > System Settings > Invoices (under “Overhead Percentage”) have been added. You can now add overhead to quotes, invoices, and work orders based on a percentage of the subtotal. In addition, if you decide to break overhead down into material and labor, you can choose to calculate overhead based on material and labor prices rather than costs.
  13. The “Show Description” check boxes have been replaced with drop-down menus under Pick Lists, Job Details (WO and Contractor View), Order Information, and Packing Slips in Settings > System Settings > Work Orders. These drop-down menus allow you to choose whether you want to show product descriptions directly from the work order, from your product list, or not at all in your pick lists, job details, non-inventory purchase orders, and packing slips.
  14. You can now add notes about each of your contractors/subcontractors in Settings > Contractors/Subs (you’ll see a new “Notes” field when adding a new contractor or editing an existing one). These notes will appear as you’re selecting contractors in work orders.
  15. In Settings > User Permissions, a permission has been added to show/hide the Payment Settings in the Quote Actions and Invoice Actions menus. As with other permissions, you can turn on/off this permission for certain user roles or specific users. For quotes, you’ll find this permission in Quotes Menu Item > Create Quote > Quote Detail Options > Action Menu. For invoices, you’ll find this permission in Invoices Menu Item > Create Invoice > Invoice Detail Options > Action Menu.
  16. In Settings > Integration > Google Calendar, you can now select which Google Calendar you’d like to sync with Floorzap if you have multiple Google Calendars under your Google account.
  17. In Settings > Integration > Website Lead, you can now select a default location and enter a link to a webpage that will be shown after someone submits the selected form on your company website. If you’re not showing the Location field on your website form, then your website leads will be placed in the default location after they’re converted to Floorzap leads in Marketing > Follow Up. In addition, CAPTCHA verification has been added to your website forms to reduce bot attacks and spam on your company website.
